3.1 How to book direct

You can book directly through the Book Now button on hotelvillaeverest.com (our secure booking engine), by email at stay@hotelvillaeverest.com, or by WhatsApp or phone on +91 73648 54463. Direct bookings receive our lowest available rate and the direct-booking benefits described on the Website. A booking is confirmed once the advance payment is received and we send a confirmation with a booking reference.

3.2 Who can check in

1. The person checking in must be at least 18 years old and must stay at the hotel for the booking.
2. Every adult guest must show a valid, original government-issued photo ID at check-in. The name on the booking should match the ID of at least one guest.
3. We may refuse check-in, without refund, if valid ID is not provided, because local law requires us to record it.
4. Indian couples, married or unmarried, are welcome. A valid ID for each adult is all we need.

3.3 Accepted identity documents

All other foreign nationals, including OCI cardholders	Valid passport with a valid Indian visa or e-visa, or OCI card. We are required by law to file Form-III (formerly Form C) with the immigration authorities within 24 hours of your arrival.

Not accepted: PAN card, ration card, office or college ID cards, and photocopies or photos of IDs on a phone (except a DigiLocker document shown in the official app).

3.4 Check-in and check-out

Arriving after 9:00 PM? Please tell us your expected arrival time at least 12 hours ahead by WhatsApp. Darjeeling roads can be slow after dark, especially during monsoon and winter, so we will arrange for someone to receive you.

3.5 Early check-in and late check-out

Early check-in and late check-out are on request. They depend on room availability on the day and are not guaranteed unless we confirm them in writing. If you need your room ready for a very early arrival, please book the previous night.

If your room is not ready early, you are welcome to leave your luggage at reception and relax at Everest Cafe.

3.6 Occupancy, children and extra beds

1. Standard occupancy: 2 adults per room. Maximum occupancy: 3 guests]per room, including children.
2. Children under 7 years stay free when sharing the existing bed with parents, without an extra mattress.
3. Children aged 7 and above are charged per person, per night, including an extra mattress:
4. Without meals: ₹800 in peak season, ₹500 in off-season.
5. With breakfast: ₹1,000 in peak season, ₹800 in off-season.
6. With breakfast and dinner: ₹1,300 in peak season, ₹1,000 in off-season.
7. Peak season dates are listed in the Cancellation & No-Show Policy (clause 5.2).
8. Extra mattresses are subject to availability and must be requested in advance.
9. Children must be supervised by an adult at all times, especially on stairs, balconies and the cafe deck.

3.7 Rates and inclusions

• Room rates are room only (EP) unless your booking or package says otherwise. Breakfast and other meals at Everest Cafe are charged separately, or included where your package states.
• Prices shown on the Website include applicable GST.
• Package inclusions (for example honeymoon set-ups or meal plans) are as described on the offer page and in your confirmation.

3.8 Room allotment and accessibility

All 11 rooms are view rooms, spread across three floors of a heritage building. The building has no lift, and upper floors are reached by stairs. Rooms are allotted by our front desk on the day of arrival. If you or anyone in your party has difficulty with stairs, please tell us when you book and we will do our best to allot a lower-floor room. Views of Kanchenjunga depend on the weather and cannot be guaranteed.

3.9 Visitors and quiet hours

• Visitors are welcome in the lobby and Everest Cafe. Visitors may not enter guest rooms after 9:00 PM and must register at reception with ID.
• Please keep noise low between 10:00 PM to 7:00 AM. Our family lives on the property, and many guests rise early for sunrise.
• Pets are not permitted

3.10 Smoking, safety and the building

• All rooms and indoor areas are non-smoking, as required by the Cigarettes and Other Tobacco Products Act, 2003. Smoking in a room carries a deep-cleaning charge of ₹5000.
• Room heaters and electric bed warmers are provided; please switch them off when you leave the room. Please do not bring your own heaters, irons or cooking appliances.
• Candles, incense and open flames are not allowed in rooms.

3.11 Transfers and local travel

Airport (Bagdogra) and railway (NJP / Darjeeling) transfers can be arranged through our partner, Atharva Travels, at their rates. Transfer bookings and payments are made with Atharva Travels, under their terms.
